Prepaying TNZ Invoices

Learn how an upfront TNZ invoice can create credit that pays down monthly plan and transaction charges for approximately six or twelve months.

This guide is for clients who wish to prepay invoices (e.g. 6-months or 12-months of invoices).

Normal Monthly Billing

  • A fixed monthly plan fee is charged.
  • Transaction charges vary with usage, such as the number of SMS or email messages sent.
  • You normally pay each monthly invoice.

Billing with Prepaid Credit

  • TNZ issues an upfront invoice for an agreed amount.
  • You make one larger payment.
  • Each monthly invoice draws down the available credit.

How prepayment works

  1. Ask TNZ Accounts for an upfront invoice. Nominate an amount intended to cover approximately six or twelve months.
  2. TNZ issues the invoice using your supplied purchase order number and billing details.
  3. Pay the upfront invoice. TNZ applies the payment to your account as credit.
  4. TNZ continues to issue the usual monthly invoices. Each one includes the fixed monthly plan fee and that month's actual transaction charges.
  5. The monthly invoice shows the available credit and the month's charges. While sufficient credit remains, you do not need to make another payment.
  6. The credit reduces each month. When it is nearly used, ask TNZ Accounts to issue another upfront invoice and repeat the process.

Request a prepayment invoice

Contact TNZ and provide:

  • Your TNZ account number.
  • The amount you want to prepay (e.g. 6-months or 12-months of plan charges, or a fixed amount like $1000).
  • The purchase order number to show on the upfront invoice.
  • The billing contact name and email address.
  • Any invoice reference or accounts-payable requirements.

When you pay, use the payment reference shown on the invoice so TNZ can apply the credit to the correct account.

Reconcile the monthly invoices

Your accounts team should continue to process the monthly invoices, even when no additional payment is required:

  1. Keep the upfront invoice and its payment record.
  2. Check each monthly invoice for the plan fee and transaction charges.
  3. Reconcile the opening credit, monthly charges, and remaining credit.
  4. Monitor the balance and request another upfront invoice before the credit runs out.

Your accounting system may record the initial payment as a supplier prepayment or account credit. Follow your organisation's accounting policy or ask your accountant how it should be treated.

Frequently asked questions

Can TNZ issue one invoice that replaces all monthly invoices for six or twelve months?

No. TNZ issues an upfront invoice that creates account credit, but monthly invoices continue because transaction charges depend on actual usage.

Does prepaying change our plan or transaction rates?

No. The normal monthly plan fee and applicable transaction rates continue to apply.

Do we need to pay each monthly invoice?

Not while sufficient credit remains on the account. Each invoice will include an "Invoiced Amount" (the month's charges) and an "Amount Owing" (the payable amount; negative means your account is in credit). Continue to review and process each invoice for your records.

What happens if usage is higher than expected?

The credit will run out sooner. You can request another upfront invoice. If the remaining credit does not cover a monthly invoice, the uncovered balance will be payable under your normal payment terms.

What happens if usage is lower than expected?

The credit will last longer, subject to the terms that apply to your account. TNZ's current billing guidance states that unused prepaid credit expires after 12 months, so confirm the applicable terms with TNZ Accounts.

Is the upfront invoice a credit note?

No. It is an invoice that you pay. TNZ then holds the payment as credit and applies it to future monthly invoices.

Can our purchase order number appear on the invoice?

Yes. Give TNZ Accounts the correct purchase order number when requesting the upfront invoice. If you also need it shown on subsequent monthly invoices, include that requirement in your request.
