Connecting TNZ with Microsoft Teams

Send TNZ SMS reply notifications to a Microsoft Teams channel using the channels email address.

Save a Microsoft Teams channel email address as a TNZ User’s SMS Reply Email so new SMS replies are delivered into that channel.

Overview

  • The setting applies to SMS replies for the TNZ User you edit.
  • SMS Reply Report Method must be set to Email (All), and SMS Reply Email must contain the Teams channel address.
  • The Teams channel must expose an email address and accept the TNZ notification email.
  • The routing choice is stored when an outbound SMS is sent. Replies to older messages can therefore continue to use the previous reply-email address.

Set up the integration

  1. In Microsoft Teams, open the destination channel, select More options, then select Get email address. Copy the address.
  2. Review who can access the channel. SMS reply notifications can contain mobile numbers, message text, and other customer information, so do not use a channel with an inappropriate audience.
  3. In the TNZ Dashboard, open Users and edit the User whose SMS replies should appear in Teams.
  4. Open the SMS tab and set SMS Reply Report Method to Email (All).
  5. Paste the Teams channel address into SMS Reply Email.
  6. Save the User. The new address applies to SMS messages sent after this change; replies to older outbound messages can still follow the routing stored when those messages were sent.
  7. If the Teams channel limits who may send email to it, update the channel’s email settings so it can accept the TNZ notification email. Follow your organisation’s Teams security policy rather than allowing unrestricted senders.
  8. Repeat the setup only for other TNZ Users whose new SMS replies should go to the same channel.

Test the setup

  1. After saving the settings, send a new SMS from the configured TNZ User to a mobile number you control.
  2. Reply to that new SMS from the mobile.
  3. Confirm the reply notification appears in the intended Teams channel and that its contents are appropriate for everyone who can access the channel.

Troubleshooting

Get email address is unavailable

Ask the Teams administrator whether emailing channels is disabled or unavailable for that channel type.

TNZ records the reply but Teams does not show it

Confirm SMS Reply Report Method is Email (All), check the channel’s email sender restrictions, and verify the address saved in SMS Reply Email.

Replies still go to the previous email address

The reply route is stored when the outbound SMS is sent. Send a new SMS after saving the updated settings, then reply to that new message.

The notification appears in the wrong channel

Reopen the TNZ User, compare SMS Reply Email with the intended channel address, save any correction, and test with another newly sent SMS.
